AI Training for NGOs in Kenya

Our AI training for NGOs in Kenya teaches programme, M&E, fundraising and finance staff to use AI on their own proposals, donor reports and field data, with clear rules that keep beneficiary information safe. Sessions run in person anywhere in Kenya or online, and the scope and fee are agreed before any work begins.

“I had an excellent experience learning with EddyLabs. The courses are well-structured, beginner-friendly, and super practical, even if you do not have any technical background.”

When your NGO needs AI training

In most NGO teams, staff already use ChatGPT on their own: a programme officer tidies a concept note, someone in M&E pastes survey answers into a chatbot, and a donor update gets drafted the night before it is due. Nobody has agreed what is safe to paste or how the good habits reach the rest of the team.

That gap is common. In a late 2025 survey of 346 nonprofits by Virtuous and Fundraising.AI, 92% used AI, yet only 7% reported a major improvement and nearly half had no AI policy. Since the 2025 USAID cuts, many Kenyan teams are also smaller and still expected to deliver the same proposals and reports. Training the team together, on its own work, is how AI starts to save real time. Our guide to AI for NGOs in Kenya covers the research and the rules in more depth.

What NGO teams learn in our AI training

AI for proposal writing: two participants working through an exercise together on a laptop

AI for proposal and grant writing

Your programme and fundraising staff learn to use AI to structure a response to a call, check that every requirement in the terms of reference is answered and tighten a draft to the word limit.

They also learn where AI must stop. The problem analysis, evidence and theory of change stay your own, every statistic traces back to a source you can name, and nothing goes to a funder without a person checking it.

AI for donor reports: two colleagues reviewing a spreadsheet with printed reports on the desk

AI for donor reports

Quarterly and annual reports take days because the information sits in activity logs, field updates and finance sheets. Your team learns to pull a first draft together from those notes and match it to each donor's template.

We build a simple checking routine into the training, so every number is traced back to its source and every claim matches what actually happened before the report is signed.

AI for monitoring and evaluation: a health worker entering patient details on a tablet while people wait

AI for monitoring and evaluation

M&E staff learn to use the AI features now built into tools such as KoboToolbox to transcribe and translate audio responses, then group open-ended answers by theme and pull out quotes for reports.

They practise checking a sample of transcripts against the audio and spotting where accuracy drops, such as background noise or mixed languages, so a person still makes the final call on what the data shows.

AI policy for NGOs: an officer reading documents at a desk piled with case files

AI policy and beneficiary data protection

NGOs hold health details, family information and case files, much of it sensitive personal data under the Kenya Data Protection Act, 2019. Your staff learn to remove identifying details before they use AI and to recognise tasks that should not use AI at all.

We draft a short AI use policy with your leadership team during the training: which tools are approved, what data never goes into them and who checks AI output before it reaches a donor.

Your AI trainer

Your training is led by Edwin Rogoi, an AI trainer in Kenya and the founder of EddyLabs, and a specialist colleague joins him when your programme needs one. Edwin teaches teams to use AI on the documents they already write, so your staff practise on proposals, reports and survey data instead of generic demos.

In 2026, Nairobi Startup Garage named Edwin Assistive Technology Enabler of the Year, and EddyLabs is rated 4.9 on Google from 14 reviews. We are based in Thika and train teams in person anywhere in Kenya, or online. Read more about Edwin.

Questions about AI training for NGOs

Is it safe for NGO staff to use ChatGPT with beneficiary data?
Not with identifying details. Names, phone numbers, health information and family details are personal data, and much of it is sensitive personal data under the Kenya Data Protection Act, 2019. The training shows staff how to remove identifying details first, or use a tool your organisation has approved for that data.
Can our staff use AI to write grant proposals?
Yes, for structure, clarity and checking that every requirement is answered. The ideas, evidence and theory of change should stay your own, because some funders now say they will not treat proposals substantially written by AI as the applicant's original work. Our guide to AI for NGOs in Kenya explains the funder rules in more detail.
Do our staff need technical skills?
No. The training is built for programme, M&E, finance and communications staff, and it uses tools your team already has, such as ChatGPT, Google Gemini, Microsoft Copilot and KoboToolbox.
Can you train teams in different counties?
Yes. We run sessions in person anywhere in Kenya or online, and many NGOs combine one in-person session with online follow-up for staff in the field.
How much does AI training for an NGO cost?
The fee depends on the number of staff, the number of sessions and how much the content is adapted to your work. We agree the scope and fee after a free 30-minute call, before any work begins.
Can you help us adopt AI across the whole organisation?
Yes. If you need more than training, AI strategy consulting helps you choose where AI fits across programmes and write a fuller AI policy, and AI workflow automation can build tools such as report templates and data pipelines.
